Which Form Do I Need?
Entering a vehicle? = Vehicle Entry Form
Got a vehicle for sale, market stall, car parts, trash & treasure? = Swap Meet Form
Trade, non-profits and sponsors? = Trade Form (Liability Insurance required)
Selling Food(including non-profit groups)? = Food Vendor Form (Liability insurance and food handling certificate required)
Entertainment & Children's related services and goods? = Kids Zone Form (Liability and WWC required)

Site Holder requirements (to be supplied with application form)
All vendors must supply a copy of current liability insurance.
Swap meet stalls do not require insurance.
Food Vendors must also supply a copy of current food handling certificate.
Kid's zone or anyone dealing with children must supply a current working with children certificate.
When is the last day that I can electronically transfer funds to pay my entry fee?
If you have pre-entered online by emailing your forms to email@example.com then the last pre-entry payments accepted will be Monday the 20th of September to allow processing time and ensure enough time for pre-entrants to be finalised prior to the event.
What times can I pre-enter at the event grounds?
Pre-entry in person is available on-site on Friday 24th of September from 11am to 4pm, and on Saturday 25th Of September from 9am to 4pm.
At this time you will be issued with your entrant sticker and show bag, It is requested that you have your entrant sticker applied to your windscreen in the top left hand corner prior to arriving at the gates for entry on sunday morning, as this will ensure smooth entry to the grounds.
Pre-entry in person on Friday 24th and Saturday 25th is located at Pambula Sporting Complex Clubhouse (upstairs) - Pambula Beach Road Pambula Beach NSW 2549.
Entrants Cruise - Saturday 26th September
Cruise entrants gather at Pambula Sporting Complex car park at 10:30am.
Cruise runs from Pambula to Short Point, Merimbula with a short stop for photos then back through Millingandi Bypass to Pambula.
Return to complex for "Entrant's Only" free BBQ and raffle at 12pm.
Is there security onsite?
Security is onsite saturday night to allow for early display set up on saturday afternoon.
When can we set up our vendor or trade sites?
Saturday gates open to vendors/site holders for early set-up at 9am.
Food Vendors please note that set up times will be allocated to make parking of food vans easier and require less reversing and manouvering, you will be contacted prior to set up day with your time.
Can vendors camp onsite?
Camping onsite is available for vendors overnight saturday for early set-up sunday.
PLEASE NOTE: No other camping available.
Is power available onsite?
Power is available onsite to food vendors ONLY at an extra cost of $50.
General vendors, kids zone and swap meet stalls must supply own generator if power is required.
What time do the gates open?
MAIN EVENT SUNDAY
Gates open to ENTRANTS AND VENDORS ONLY at 6am
Gates close to entrants at 9:30am, and all vendors need to be set up by 9am.
Public car parking and entry will not be open until 10am. PLENTY OF FREE PARKING ON SITE
What time does the event start and finish?
The event is open to the public from 10am Sunday 26th September. Closes at 3:30pm.
Can our car club park together?
We will make every attempt to park car clubs together, however if you wish to be parked together we ask that you please arrive together as once adjacent spaces fill up we cannot move vehicles.
What time are vehicles judged?
Vehicles to be in place for judging by 9:30am, judging will be completed by 12 noon.

Bike/Tractor/Stationary engine = $10 ($20 after 30 Aug 2020)

Swap Meet site (2nd hand goods only)
4 x 4 metre site = $15 ($20 after 30 Aug 2020)

Is there parking on site?
FREE PARKING is available on-site and entry tickets are available at the gates.
DISABLED parking is available onsite with a disabled permit. **Please note this is an outdoor venue and the ground is not level in many areas.
Can we contact the committee on event day?
The committee will be wearing "Official shirts" on the day, but the phone number listed on the site will not be manned on the day due to commitments onsite. To speak with committee on the day please go upstairs at the Sports Complex clubhouse.
